Step 1: Nomination by the partner university
If you wish to study at Heidelberg University as an Erasmus student, you must be nominated by your home university for the Erasmus+ programme.
The selection procedure is carried out by the coordinators at your home university, who will nominate you to us by the deadline (15th May for the winter semester and 15th November for the summer semester) in accordance with the applicable Inter-Institutional Erasmus agreements.
Step 2: Application in Mobility-Online
After the nomination deadline has passed, our Erasmus office will send you the links to apply in our application portal Mobility-Online by e-mail:
a) You will be asked to fill out an online form and create your personal Mobility-Online account.
b) After you have logged in to Mobility-Online with your new password, you must enter further data. Your application in Mobility-Online is then complete.
Step 3: Application in HeiCo
After we have approved your application in Mobility-Online, you will receive an automatically generated e-mail with information for the application in HeiCo:
a) Please download the letter of admission from Mobility-Online first.
b) Then use the link sent to you and create an account in HeiCo.
c) Apply in HeiCo. Please follow the instructions that we have compiled for you in a separate PDF. This was sent to you with the e-mail for the application in HeiCo.
Important information for the HeiCo application:
- Apply for ‘Exchange’ (“Austausch”) and for the study programme for which you have been nominated. This is not necessarily the subject you are studying at your home university.
- You must upload the letter of admission from Mobility-Online to HeiCo as part of your application.
The deadline for completing your entire application (Mobility-Online and HeiCo) is 15th June for the winter semester and 15th December for the summer semester.
If you have applied for the correct programme and subject, your application is complete at this point.
Step 4: Admission
Once you have submitted your complete application in HeiCo, our staff from the enrolment service will offer you a study place at Heidelberg University. As soon as you have accepted it, you can begin the enrolment process.
Step 5: Enrolment
To be enrolled in a specific degree programme at the university you must upload the required documents:
a) Application for Enrolment
b) A passport photo
c) A copy of your identity card or passport
Proof of health insurance is required for enrolment. Proof of health insurance will be sent via the electronic registration procedure. You must contact a German statutory health insurance company of your choice yourself and present your existing health insurance or your valid EHIC/GHIC card or take out insurance. The health insurance company can advise you exactly which option applies to you. If you contact the statutory health insurance company, please request that your health insurance status ‘Meldung M10’ be sent electronically to Heidelberg University.
You must also pay the semester fee (currently €81.10). This fee does not go to Heidelberg University, but relates to the services offered by the Studierendenwerk (canteen, counselling services, etc.) and the constituted student body. This means that the fees are not officially a semester fee, but a contribution to the student services provided by Heidelberg University. You must pay this fee in order to successfully enrol and participate in the Erasmus+ programme. There are no other tuition fees; as an Erasmus student, you are exempt from them. You can find information about the payment in your HeiCO account.
Please note: Enrolment will only be completed after payment of the semester fee, electronic notification of health insurance have been received, and the documents described above have been uploaded. When you enrol as an Erasmus student, you become a member of Heidelberg University for a limited period of one to two semesters.
After enrolment, your Uni ID will be generated. The Uni ID is your personal access to the online services of Heidelberg University. You will find further information on Uni-ID and activation in your heiCO account.
Five days after your Uni-ID has been issued, your student ID card will be created. You will be sent an e-mail explaining when and where to collect it.
At the end of your stay, you must submit an application for exmatriculation in order to exmatriculate from Heidelberg University.
Fees for study
All students, including exchange students, must pay a fee for study. Currently, the amount of the contribution is € 81.10 per semester. Exchange students are exempt from the fee for administrative costs.
Required documents
Learning Agreement
In the Learning Agreement you agree on your study plan with your home university and the subject coordinators of Heidelberg University. Therefore, the Learning Agreement must be signed by your Erasmus departmental coordinator (and not by the Erasmus Institutional Coordinator). You can find a complete overview of the courses offered by all faculties in the university's general course catalogue.
The individual institutes usually also publish annotated course catalogues in which all offered courses are listed with detailed descriptions including a bibliography. The annotated course catalogues are particularly helpful for arranging courses and assessing credit points. They can be obtained from the institutes or from the subject coordinators, and in some cases also directly on the internet via the homepages of the departments.
Transcript of Records
At the end of their stay, exchange students can obtain a Transcript of Records to certify their academic achievements completed at Heidelberg University. In this document, students list the courses they have attended. The Erasmus departmental coordinator will sign the document after submission of the certificates.
